This section covers the processing of Calendars – either in Microsoft 365, Exchange or Google Workspace.

Processes which rely on the users being in the Cloud, may be affected by this until they have been successfully synchronised with the respective Cloud Sync Tool (Azure AD Connect or Google Cloud Directory Sync).

Timetables

I need to stop students (and /or staff) seeing the new timetable. What can I do?

Most customers will already have an updated version of the software where the new timetable only appears once the new timetable is published and applied, and the new academic year starts. By default, our processes use the next 6 weeks of data. If you require confirmation of the number of weeks ahead in place, or for our team to check the logs to ensure the processing is running, please contact our support team.

If you have our Status Viewer Application, you can change the way we handle the calendars for the next academic year from the Tools page.

I would like to turn on or turn off Calendar processing - can we do this, and can it be separate for Staff and Pupils?

Yes, we can turn off-timetable processing (and advise how to turn it back on or vice versa). We can also remove any events we have added for dates after we turn off the process.

Yes, the process can be activated and deactivated separately for Staff and Pupils.

If you have our Status Viewer Application, you can enable and disable calendars for staff/students or both from the Tools page.

Events after date x are not showing, but they are in the timetable. Is there a problem?

By default, our processes use the next 6 weeks of data (in the same Academic Year), so this may be the cause. If you require confirmation of the number of weeks ahead in place, or for our team to check the logs to ensure the processing is running please contact our support team.

If you have our Status Viewer Application, you can change the number of weeks to be processed from the Tools page. If you require a particularly long run, we recommend a separate weekly task to do this.
